Consultancy portal

Counsellors, branch managers, finance & admin

The consultancy workspace is your command centre — from the first enquiry to a student landing abroad. Everything lives in one place: leads, students, applications, documents, finance, and communications, with role-based access so each team member sees exactly what they need.

What you get

  • 360° student profiles with dependents & visa cases
  • Kanban pipelines for leads and applications
  • Automatic virus-scanned document vault
  • eSewa / Khalti online payments + approvals
  • AI Copilot for drafting and university search
  • Role-based access control for every team member

Step-by-step workflow

  1. 1

    Register your consultancy

The owner signs up at /signup with the consultancy name, an owner login, a copy of your business registration certificate (tax registration and owner ID are optional), and accepts the partner agreement. A platform admin reviews the submission — usually within one business day — before the workspace goes live.

  2. 2

    Sign in to your workspace

Once approved, sign in with the owner login (or invite teammates, who use the invitation link or Google Single Sign-On). Set a password, enable two-factor authentication under Profile → Security, and a short getting-started walkthrough greets you on first visit to the dashboard.

  3. 3

    Capture & qualify leads

Add enquiries under CRM → Leads, or import a spreadsheet with automatic duplicate detection. Pick the destination country from the dropdown, assign a counsellor, and drag leads across the pipeline (New → Contacted → Qualified → Won).

  4. 4

    Convert to a student

When a lead decides to proceed, click Convert to student. Their details — including destination country — carry into a full 360° student profile with dependents, documents, and case history.

  5. 5

    Build applications

From the student, create an application, pick institution / course / intake, and move it through stages. Course-match suggestions and a required-document checklist keep every file complete.

  6. 6

    Collect & review documents

Request uploads, which are virus-scanned automatically and organised by student. Reviewers approve or reject with notes, and expiry reminders fire before passports or offers lapse.

  7. 7

    Invoice & get paid

Raise invoices, send branded PDFs, and collect online via eSewa or Khalti. Manual payments and refunds route through an approval step, and sub-agent commissions are tracked automatically.

  8. 8

    Communicate & automate

Email, SMS and WhatsApp from the student record using reusable templates. Automation rules send welcome messages and document reminders without anyone lifting a finger.

An owner or admin invites them under Settings → Users & roles and assigns a role (Counsellor, Branch Manager, Finance, etc.). The role decides which menus and actions they see.

Yes — admins edit lead and application stages under Settings → Pipeline, so the board matches how your consultancy actually works.

In Platform → Settings. You can also switch the AI model and run a live "Test AI Connections" check there.
